Privacy Policy

Effective date: June 1, 2026

Eagle Eye Media Ventures ("we," "us," "our") operates ClaimsPointe("the Service"), a claims management platform for auto dealerships. This Privacy Policy explains what data we collect, how we use it, and your rights with respect to it. By using the Service, you agree to the practices described here.

1. Information We Collect

Account and organization data

When you or your organization creates an account, we collect your name, email address, job title, and your dealership or company name. Administrators may add additional users and assign roles (admin, handler, viewer).

Claim and operational data

The Service is designed to store claim records you create and manage. This includes vehicle identification numbers (VINs), incident descriptions, dates and locations, handler assignments, damage assessments, financial figures (repair estimates, demand amounts, settlement values), and status history. All claim data you enter belongs to your organization.

Documents and files

You may upload photos, PDFs, and other files in connection with claims. These files are stored in Cloudflare R2 object storage under your organization’s account and are only accessible via authenticated, time-limited signed URLs.

Usage and log data

We collect server-side logs that include IP addresses, browser and device type, pages visited, timestamps, and actions taken within the Service. This data is used for security, debugging, and service improvement.

Communications

If you contact us by email or through the demo request form, we store that correspondence.

2. How We Use Your Information

We use the data we collect to:

  • Provide, operate, and improve the Service
  • Send transactional email notifications related to claim activity, assignments, and deadlines
  • Authenticate users and enforce role-based access controls
  • Respond to support requests and demo inquiries
  • Detect and prevent fraud, abuse, or security incidents
  • Comply with legal obligations

We do not use your claim data to train machine learning models, sell to third parties, or share with any party outside the scope described in Section 3.

3. Data Sharing and Third-Party Processors

We share data only with service providers necessary to operate the Service:

  • Cloudflare — website hosting, edge delivery, and Cloudflare R2 for document storage. Data processed under Cloudflare’s Data Processing Addendum.
  • PostgreSQL database provider — structured claim and account data is stored in a hosted PostgreSQL database.
  • Resend — transactional email delivery for claim notifications and account activity alerts.

We do not sell, rent, or broker your personal data to any third party. We do not share data with advertising networks.

4. Data Retention

We retain account and claim data for the duration of your subscription and for up to 90 days after account termination, to allow for data export. After that period, data is permanently deleted from production systems. Backup retention may extend up to 30 additional days before purge. You may request deletion at any time by contacting us at hello@claimspointe.com.

5. Security

All data in transit is encrypted via TLS. Documents stored in Cloudflare R2 are served exclusively via time-limited signed URLs and are not publicly accessible. Access to the Service requires authenticated sessions with role-based permissions. We conduct periodic reviews of access controls and security configurations.

6. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, export, or delete personal data we hold about you. To exercise these rights, email us at hello@claimspointe.com. We will respond within 30 days.

If you are located in the European Economic Area or the United Kingdom, you may also have the right to lodge a complaint with your local data protection authority.

7. Cookies and Tracking

The Service uses session cookies necessary for authentication and CSRF protection. We do not use third-party advertising cookies. The marketing site (https://claimspointe.com) may set analytics cookies if analytics tooling is present; these are limited to aggregate usage measurement and do not track individual users across sites.

8. Children

The Service is designed for business use by adults. We do not knowingly collect personal data from anyone under the age of 18.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by email or via an in-app notice at least 14 days before they take effect. The effective date at the top of this page reflects the most recent revision.
